Guidelines for presenters (in-person or virtual mode)

 

LS & EEDAL join conference is expected to be hybrid (online and onsite in Toulouse). We are planning to have 5 onsite rooms managed for hybrid mode (accessible for onsite and online attendance) via engagez.com platform sponsored by IEEE. The hybrid rooms will have physical / virtual attendance and onsite / online speakers.

 There are guidelines on how to prepare your presentation. These guidelines are applicable whet ever is the mode of your participation (in-person or virtual)

 Duration of Presentations:

The duration of presentations is identical for live presentations (onsite participants) and pre-recorded presentations (online participants): 20 minutes for presentation and 5 minutes for Q&A

 Submission of Presentations (for ALL presenters):

In order to avoid delays due to technical problems, such as unstable internet connections, loss of internet connection or sound problems, it will be required for presenters to upload the following files by May 15th, 2022 (you will receive beginning of May individual invitations with links for uploading your files): 

  • Presentation file – Allowed formats: PowerPoint (.ppt or .pptx) or PDF. 
  • Pre-recorded presentation – Allowed formats: PowerPoint presentation with audio (.pps or .ppsx) and video (.mp4 or .avi).

 

Template for presentations:
To avoid any “commercialist” we invite you using standard conference templates. You have 2 templates attached at this mail:

  • PowerPoint template (Presentation_template.potx) for your presentation. There is space for you company/institution logo in the 1st page.  Please note that we expect to see in the 2nd page your photo and short CV.

 

Tools for Pre-Recorded Presentations (3 options): 

You can use PowerPoint “voice-over-ppt” functionality to record your presentations. The result can be recorded in PPT with audio (.pps or .ppsx) or exported by power point to mp4 format. There is a document to explain the process.

Another possibility is to use visio-conference tools (zoom, skype, webex…) to register your presentation by sharing you screen. In that case, you will find herby attached an image in jpg format to use as background when you register your presentation (Screen_Background.jpg)

In case an alternative presentation program is used you can use Open Broadcaster Software (OBS): the free software OBS for Windows, Mac and Linux allows recording of screen, webcam and microphone simultaneously: https://obsproject.com/

 

 No-Show Notice: 

  • In the case that you not submit your presentation, the paper will be marked as “no-show” and your it will not be sent to be considered for publication inside IEEE Xplore!
  • Further, you must register for the conference at: https://eedal-ls21.sciencesconf.org/ then click on “Registration” Tab.
